Email Queue
Monitor the outbound email delivery status for your organization. Access in Admin → Email Queue.
The Email Queue shows every email Ascent generates — ticket replies, notifications, invoices, and other system mail — along with whether each message is still waiting to send, has been sent, or has failed.
Overview
The Email Queue page lets you:
- See at-a-glance counts of Pending, Sent, and Failed emails, plus a Total.
- Review the most recent outbound emails, including their recipients, subject, status, and delivery timestamps.
- Inspect the last error message for any email that failed to send.
- Refresh the view on demand, or rely on the page's automatic refresh.
Navigate to Email Queue
Go to Admin → Email Queue (/admin/email-queue). This page is restricted to users with the Owner or Admin role.
The older System Status page (
/admin/system-status) now redirects here. Platform-wide job and worker monitoring lives on the separate platform-admin System Status page, which is only available to Ascent operators.
Summary cards
Four cards at the top of the page summarize the queue for your organization:
| Card | Description |
|---|---|
| Pending | Emails waiting to be sent. |
| Sent | Emails that have been delivered to the mail server. |
| Failed | Emails that could not be sent after a delivery attempt. |
| Total | The combined count of pending, sent, and failed emails. |
Recent Emails table
The Recent Emails table lists the last 50 emails in the queue, most recent first.
| Column | Description |
|---|---|
| To | The recipient address(es) for the email. |
| Subject | The email subject line. |
| Status | A badge showing Sent, Failed, or Pending. When an email failed, the last error message appears beneath the badge. |
| Scheduled | The time the email was scheduled to be sent. |
| Sent | The time the email was actually sent, or - if it has not been sent yet. |
| Attempts | How many delivery attempts have been made. Shows - when no attempts have been made yet. |
If there are no emails to show, the table displays No emails in the queue.
Statuses
| Status | Meaning |
|---|---|
| Pending | The email is queued and waiting to be delivered. |
| Sent | The email was successfully handed off to the mail server. |
| Failed | A delivery attempt failed. The last error is shown beneath the status. |
Refreshing the view
- Click Refresh to reload the counts and the Recent Emails table immediately.
- The page also refreshes automatically about every 30 seconds, so the data stays current while it is open.
Automatic retries
You do not need to manually re-send failed emails. A background job runs on a schedule and automatically re-queues failed emails for another delivery attempt:
- Emails that have Failed are retried up to 5 attempts total.
- An email becomes eligible for retry at least 10 minutes after it was first created, and the retry sweep runs about every 15 minutes.
- When an email is re-queued, its status returns to Pending and the previous error is cleared. The Attempts count reflects how many times delivery has been tried.
An email that exhausts all 5 attempts remains Failed and is not retried again automatically.
Tips
- If you see a growing number of Failed emails, check the error text under each failed entry and review your outbound email (SMTP) configuration under Admin → Integrations.
- A high Pending count that is not clearing may indicate a mail delivery problem; use Refresh to confirm whether items are moving to Sent over time.
