Tags
Tags are shared, color-coded labels you create once and then apply across Ascent to categorize and organize your records. The Tags admin page is where you create, edit, merge, and delete the tags available to your whole organization.
Overview
The Tags page lets you:
- Create tags with a name and a color
- Search existing tags by name
- See how many times each tag is in use
- Edit a tag's name or color
- Merge one tag into another (transferring all assignments)
- Delete tags you no longer need
Tags are organization-wide. Once created, a tag can be applied to many different kinds of records, including tickets, clients, contacts, locations, assets, projects, documents, credentials, and vendors.
Navigate to Tags
Go to Admin → Tags (/admin/tags). The Admin section is visible only to users with the Owner or Admin role.
The action buttons on this page are shown based on your Tags permissions: the Add Tag button requires the create permission, Edit and Merge into... require the update permission, and Delete requires the delete permission.
Tag fields

| Name | Yes | The tag label. Must be unique within your organization (1–50 characters). |
| Color | No | A hex color (for example #6B7280) used for the tag's dot and badge. Defaults to gray (#6B7280) if not set. |
When you set a color, you can either pick from the preset color swatches, use the color picker, or type a hex value directly. A live Preview badge shows how the tag will look.
The tags table
Each tag in the list shows:

| Tag | A colored dot plus the tag name. |
| Usage | The number of assignments for that tag (for example, "3 assignments"). |
| Created | The date the tag was created. |
Use the Search tags... box above the table to filter the list by name.
Create a tag
- Click Add Tag (or Create First Tag if no tags exist yet).
- Enter a Name.
- Optionally set a Color using a preset swatch, the color picker, or a hex value.
- Click Create.
If the name is already in use by another tag, the create fails and you're prompted that the name may already be in use.
Edit a tag
- Open the ⋯ (more) menu on the tag's row.
- Click Edit.
- Update the Name and/or Color.
- Click Update.
Merge tags
Merging moves every assignment from one tag onto another, then deletes the source tag. This is useful for cleaning up duplicate or near-duplicate tags.
- Open the ⋯ menu on the tag you want to merge away.
- Click Merge into....
- In Merge into, select the target tag the assignments should be transferred to.
- Click Merge.
Every record tagged with the source tag is moved onto the target tag (records already carrying the target tag are left as-is, with no duplicates created), and the source tag is then deleted.
Delete a tag
- Open the ⋯ menu on the tag's row.
- Click Delete.
- Confirm in the dialog.
If the tag is currently in use, the confirmation dialog warns you how many assignments exist. Deleting the tag removes it and all of its assignments from the records it was applied to.
Where tags are applied
You create and manage tags here, but you assign them from the individual records they belong to. Tags can be applied to the following entity types:
- Clients
- Contacts
- Locations
- Assets
- Tickets
- Projects
- Documents
- Credentials
- Vendors
Tips
- Keep your tag list lean. Use the Usage column to spot rarely used or duplicate tags, then merge or delete them to keep the list manageable.
- Use color deliberately. Consistent colors (for example, red for urgent, blue for network) make tags easier to scan across tickets and other records.
- Prefer merging over deleting when consolidating duplicates so you don't lose the existing assignments.
