Billing

The Billing tab in Settings manages your organization's own subscription to Ascent: the plan you pay for, your seat usage, payment methods, and the invoices Ascent issues to you.

This is your Ascent subscription, not your customer billing

This page is about what your MSP pays Ascent. To bill your own clients (customer invoices, recurring services, quotes, payments), use the Billing module in the main sidebar instead.

Overview

The Billing settings tab lets you:

  • View your current Ascent plan, subscription status, and price
  • See live usage: team members (against your seat count), clients, and assets
  • See your license tier and next billing or renewal date
  • Subscribe to a plan when you don't have an active subscription
  • Open the Stripe billing portal to manage your subscription
  • Add, remove, and set a default payment method
  • View and download past Ascent invoices
  1. Open Settings from the user menu (the Settings item with the gear icon), or via AdminOrg Settings in the sidebar.
  2. Select the Billing tab.

Billing management is restricted to the Owner and Admin roles. The Billing tab is visible to other members, but its data and actions are enforced on the server, so members without the Owner or Admin role cannot load subscription details or make billing changes.

Current Plan

When your organization has an active subscription, the Current Plan card shows:

Subscription statuses

StatusMeaning

TrialYou are in a trial period
Past DueA payment failed and is overdue
CanceledThe subscription has been canceled
IncompleteCheckout or initial payment was not finished
PausedThe subscription is paused
Trial ExpiredYour trial ended without an active subscription

If you are on a trial, an alert shows when the trial ends (or that it has expired, prompting you to subscribe). If your subscription is set to cancel, an alert shows the date it will end.

Click Manage Subscription to open the Stripe billing portal, where you can change your plan, update billing details, and review charges.

Seats and usage

The Team Members figure is your live usage; when your plan has a fixed seat count it is shown as members used out of total seats. Seat counts update automatically: when you add or remove an organization member, Ascent adjusts your Stripe subscription quantity and Stripe applies prorated charges or credits. Owners and Admins are notified in-app and by email when a seat change occurs.

Subscribing

If your organization has no active subscription, the Billing tab shows a Get Started with Ascent card with your current usage (team members, clients, assets) and a Subscribe Now button.

  1. Click Subscribe Now to open the Choose Your Plan dialog.
  2. Review the available plans, each showing its monthly price (and yearly price with the percentage saved, when offered) and included features. The most popular plan is highlighted.
  3. Click Select Plan on the plan you want. You are redirected to Stripe Checkout to complete payment.
  4. After paying, you are returned to the Billing tab and your subscription is activated.

If checkout is cancelled, you return to the Billing tab and can try again later.

Payment Methods

The Payment Methods card lists the cards saved for your Ascent subscription. For each card it shows the brand, the last four digits, and the expiry month and year. The default card is marked with a Default badge.

  • Add Payment Method opens the Stripe billing portal to add a card.
  • Set as default marks a card as the default for future invoices.
  • The trash icon removes a card. You cannot remove the default payment method.

Invoice History

The Invoice History card lists the invoices Ascent has issued for your subscription, with these columns:

Each row provides actions to open the hosted invoice in a new tab and to download the invoice PDF, when available. Use Previous and Next to page through older invoices.

Tips

  • Billing actions are available only when Ascent's payment provider is configured by the operator. If it is not, the cards appear empty.
  • Use Manage Subscription for anything not exposed directly on this page (changing plans, updating billing address, retrying a failed payment) — it opens the full Stripe billing portal.
  • Keep at least one valid payment method on file before a trial ends to avoid an interruption in service.
