Vendors
Track the suppliers, distributors, and service providers your MSP works with, and link them to the credentials, documents, services, and expenses that relate to each one.
Overview
The Vendors module lets you:
- Keep a directory of the companies you buy from or partner with
- Record contact details (email, phone, website) and a physical address for each vendor
- Store an account number and free-form notes per vendor
- See how many credentials, documents, services, and expenses are linked to a vendor at a glance
- View linked credentials, documents, and services from the vendor's detail page
- See tags applied to a vendor in the detail sidebar
Navigate to Vendors
Open Vendors in the sidebar (under the Vendors section) to reach the vendor list at /vendors.
Vendor list
The list shows a paginated, searchable table of every vendor in your organization (25 per page). Use the Search vendors... box at the top to filter by name.

Click any row to open that vendor's detail page.
Creating a vendor
- From the vendor list, click Add Vendor.
- Fill in the Basic Information card. Only Vendor Name is required.
- Optionally add Contact Information, an Address, an Account Number, and Notes.
- Click Create Vendor. You are taken to the new vendor's detail page.
Vendor fields
These are the fields stored for each vendor:

There is a single contact email/phone/website per vendor; the module does not maintain a separate list of named vendor contacts.
Vendor detail page
Opening a vendor shows four stat cards at the top — Credentials, Documents, Services, and Expenses — followed by tabbed content.

A sidebar on the right shows the Account Number (when set), the Created and Last Updated dates, and any Tags applied to the vendor.
Editing and deleting
- Click Edit to change the vendor's details on the edit form.
- Click Delete to permanently remove the vendor. Deleting a vendor requires the
vendors.deletepermission, so the Delete button only appears for roles that have it. When a vendor is deleted, its linked credentials, documents, and services are unlinked rather than deleted.
What you can link to a vendor
A vendor can be associated with the following records:

These associations are managed from the related records themselves (for example, from a credential or document) and surface back on the vendor's detail page.
Templates
The vendor data model includes an isTemplate flag, and the API can filter the vendor list to show templates or non-templates. There is currently no control in the vendor create, edit, or list screens to set this flag or filter by it, so in normal use every vendor you create is a regular (non-template) record.
A note on Pax8
Pax8 is supported in Ascent as a standalone distributor integration, not as an entry in the Vendors module. Pax8 companies are mapped to clients and Pax8 subscriptions are used for billing, separately from vendor records. (The "Vendor" shown on a Pax8 subscription is just the manufacturer name on that subscription, not a record in the Vendors module.) See the Pax8 integration documentation for details.
Tips
- Record the Account Number so support and ordering details are easy to find.
- There is no built-in vendor category field, so use the Description or Notes to capture what a vendor is for (for example, hardware supplier vs. software publisher).
- Link credentials and documents to the relevant vendor so they show up in one place when you open that vendor.
